Eligibility

Who is eligible for this trip?

This is a family-friendly trip for Modern Woodmen members, their families, and guests. All ages are welcome to join.

Note that age restrictions may apply for some optional activities and excursions in Costa Rica.

The Westin Kids Club is open daily from 9 a.m. to 5 p.m. for children ages 4-12.

Cost

What is the cost for this trip?

Modern Woodmen has a block of rooms set aside for their group. You can find the costs per room (based on how many people are in the room) on the Pricing page. Members are welcome to bring their nonmember guests to stay in a separate room. Member rooms (rooms with at least one member staying in them) receive a greater discount. Flights are not included in the cost of the trip and will need to be booked on your own.

How many people can stay in one room?

Rooms can accommodate up to 4 people (limited to 3 adults).

What if I book my room through a different site?

It may be tempting to book outside the Modern Woodmen group if you find what appears to be a cheaper deal. However, keep in mind that if you book outside the Modern Woodmen group, you will not be considered part of the Modern Woodmen group and will not be able to attend the exclusive events or receive any of the perks.

The cost for the Modern Woodmen group includes these exclusive extras plus all taxes and fees. If purchased separately, these packages would be more expensive. In addition, the Modern Woodmen group has an on-site representative who can help answer questions and resolve issues that arise. While you may think you have found a better deal, it may not be the case once you add in all these extras.

What is included in the cost?

Visit the Pricing page and What's Included page to learn more about what's included.

Flights to and from Costa Rica and optional excursions are NOT included in the cost.

Payment

What is the deposit to book this trip?

$500 is due when you register to reserve your room.

When is the full payment due?

Final payments are due by March 15, 2024. Modern Woodmen will charge your card if it is still on file by the due date. Otherwise, you will need to call or a Modern Woodmen representative will call you for the final payment.

Can I make payments?

Yes. If you call Modern Woodmen’s Fraternal Department at 800-322-9805, you can make payments over the phone prior to the March 15, 2024 deadline.

What happens if I must cancel?

Deposits are fully refundable until January 15. After that date, a $500 cancellation fee (the deposit amount) will apply. After March 15, refunds will not be provided. If you must cancel, contact Modern Woodmen’s Fraternal Department at 800-322-9805.

Can I purchase travel insurance?

Modern Woodmen does not provide travel insurance; however, a recommendation is listed under the Cancellation Policy page if you would like to purchase travel insurance and aren't sure where to look.

Bring your passport and a limited amount of cash for gratuities and shopping. (U.S. dollars are accepted. Credit cards are also often accepted with a small additional fee.)

It's hot and sunny, so pack lots of sunscreen, a bathing suit, and light clothing. Bug repellant and a hat may also come in handy.
